This Privacy Policy explains how Taxiom (“we”, “us”, “our”) collects, uses, and protects information when you use our Service, including our QuickBooks integration. By using the Service you agree to the practices described in this policy.
1. Information We Collect
We collect information in the following ways:
- Account information: name, email address, and organisation details provided when you register.
- Documents you upload: files submitted to the Service for data extraction.
- QuickBooks data: when you connect your QuickBooks account, we access only the data necessary to provide the integration (e.g. chart of accounts, transaction records). We do not access QuickBooks data beyond the scopes you authorise.
- Usage data: log files, IP addresses, browser type, and interactions with the Service, collected automatically.
2. How We Use Your Information
- To provide, operate, and improve the Service.
- To process documents and return structured data to you.
- To sync extracted data with your connected QuickBooks account where you have instructed us to do so.
- To send transactional communications (e.g. account alerts, support responses).
- To comply with legal obligations.
3. QuickBooks Integration
Taxiom connects to Intuit QuickBooks using OAuth 2.0. We store an access token and refresh token in order to maintain the connection on your behalf. We use this access only to:
- Read account and transaction data needed to map extracted document data.
- Write transactions, invoices, or records that you explicitly direct us to create.
We do not sell or share QuickBooks data with third parties. You can disconnect the integration at any time through your Taxiom account settings or directly via your Intuit account. Upon disconnection we delete stored tokens promptly.
4. Data Sharing
We do not sell your personal data. We may share data with:
- Service providers: cloud infrastructure, AI processing, and analytics vendors who process data on our behalf under confidentiality obligations.
- Legal authorities: when required by law or to protect our rights.
5. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us at privacy@taxiom.co.
6. Security
We use industry-standard security measures, including encryption in transit (TLS) and at rest, to protect your data. No method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
7. Your Rights
Depending on your location, you may have the right to:
- Access, correct, or delete your personal data.
- Object to or restrict processing.
- Data portability.
- Withdraw consent at any time where processing is based on consent.
